How to remove employee from System

This guide is for the termination of Redwood employee in our systems.


Follow the steps for each system below to terminate an employee from our systems.

Email/Google

We do not delete the user at first.

  1. Login to Google Admin.
  2. Find the user using the Search bar, then click the user’s name.
  3. On the left-hand side, click RESET PASSWORD.
  4. Select Create password and change it to a random password (must have at least 8 characters).
  5. Uncheck the “Ask user to change their password when they sign in”, then click RESET.
  6. Share the new password to Jake & Marni for them to get into the account.
  7. Next, go to Groups and select all the Groups the user is included in, then click Remove.
  8. On the Search bar, type in Routing and scroll down to “Email forwarding using recipient address map”.
  9. Click Edit on “Exited Employees Forwards”, then click ADD.
  10. Enter the Redwood email address of the exiting employee on the Address field.
  11. Then add the Redwood email address of the person who took over the role on the next field called Map to address.

After a few weeks, we will delete the user completely.

  1. Login to Google Admin.
  2. Find the user using the Search bar, then click the user’s name.
  3. On the left-hand side, click DELETE USER.
  4. From the Data in other apps, Search for the new user who took over the role to transfer their data.
  5. Click DELETE USER at the bottom of the page.

Paperless Pipeline

  1. Login to Paperless Pipeline.
  2. Click your name in the upper right corner, then Admin / Settings from the dropdown menu.
  3. Click Manage Users (left -hand side menu). This section will display all active users.
  4. Enter the user’s name on the Search bar.
  5. Hit the cogwheel icon located at the right side of the user details.
  6. Click Deactivate User.

Zipforms

  1. Login to Zipforms.
  2. Click on the Admin Tools tab, then click Users.
  3. Enter the user’s name, then click on the dropdown menu.
  4. Click Delete.
  5. Click Yes on the next pop up window.

Docusign

  1. Login to DocuSign.
  2. Click on the Settings tab at the top.
  3. Click Users under USERS AND GROUPS (left-hand side).
  4. Search for the user’s name.
  5. Hit Actions, then click Close.
  6. Click Close on the next pop up window.

Note: Jake/Marni will work with you to let you know if the user (specifically EVPs) can be deleted already to avoid losing data in the system.


Slack

  1. Go to https://c21redwood.slack.com/admin.
  2. Click Manage members under ADMINISTRATION menu.
  3. Enter the user’s name on the Search bar.
  4. Hit the three dots icon next to the name.
  5. Click Deactivate account.

Marketing Studio 2.0

  • All that needs to be done is to delete the user’s email to remove access on Marketing Studio 2.0.

Infinity Cloud

  1. Login to Infinity Cloud.
  2. On the dashboard, look for the User Management section on the left-hand corner.
  3. Click Users to access the user management interface.
  4. Search for the user’s email address by using the filter field.
  5. Select the User you want to delete.
  6. Click Delete Users, then hit Yes.

Darwin

  • Processing Team will remove the user from the system.

Signature

  1. Access these spreadsheets:
    1. Signature Manager: Employees WITH Mobile Number
    2. Signature Manager: Employees WITHOUT Mobile Number
    3. Signature Manager: Licensed Employees
  2. Find the user, then delete the entire row.

Moo

  1. Log In to Moo.
  2. On the dashboard, Click People tab located on the left-hand side.
  3. Enter the user’s name on the Search bar.
  4. Select the user, then click the trash can icon to delete.

Luxury Presence

  1. Login to Luxury Presence.
  2. Go to Content, then click Agents.
  3. Enter the user’s name on the Search bar.
  4. Hit the three dots icon next to the name.
  5. Click Delete Agent.
  6. Click Confirm.

Cloud CMA

  • Refer to this guide to log in and delete a user to Cloud CMA.

Social Bay

  1. Login to Social Bay.
  2. Go to User Management.
  3. Search for the Agent or Broker.
  4. Under the Actions dropdown, select Remove Agent.
