Compensation Change Process (Processing/Commissions Guide)

This is for Corporate - Processing/Commissions and applies when an agent's compensation changes.


Field Process:

  1. For changing compensation, field staff will need to go to agentdocs.c21redwood.com link
  2. Once the form is completed, Commissions Team will receive the request in Helpscout and draft the package in PandaDoc

  1. Go to Pandadoc and start filling out the appropriate Compensation Rider template based on the information provided on the New Request: Changing Compensation Statement form.
      • Delete the following pages:
        • ICA (only if the agent has signed it during the current year – verify in the agent's Agent Master File)
        • Recruiting Bonus/ Rev Share Program
        • ACH/ Direct Deposit & Credit Card Policy
        • Credit Card on File Agreement
        • Policy Manual

  1. Once completed, please obtain approval from Marnilyn by sharing the PandaDoc link in the appropriate Slack channel before sending the paperwork for signature. Ensure daily follow-ups are made until approval is received.
  2. Add the paperwork link and update the status column in the Request for New Agent Package or Compensation Change (Responses).
  3. Go to Compensation Change board in Monday.com and manually enter the agent information.
  4. Proceed to the Commissions Team Process below once the completed paperwork has been received in HelpScout.

Commissions Team Process:

  • Receive the agent update form email
    • Go to Compensation Change board in Monday.com and update the fields.
    • Note: If the compensation change request was sent via email or slack message, create a new entry.
  • Upload the ICA and Rider in agent’s Paperless file and label: “ICA and Commission Rider Updated MM.DD.YYYY”
    • Change the Agent Masterfile location to Agent’s primary office (For Ascend graduates).
  • Enter new commission plan in Darwin
    • Find the agent profile
    • Change the anniversary date if applicable from the “Agent Basics” tab
    • Go to Commission tab
      • Change the "Plan" dropdown to the commission plan that matches the commission rider.
      • Change the box for the deduct3 row under % percentage column to match the company split on the commission rider
      • Change the box for the deduct3 row under the $ cap column to match the Annual cap dollar amount from the updated commission rider
        • this is the maximum cap to be reached. Agent is on 100% split after the max cap is reached and split will reset again on the next anniversary date
      • In the commission notes box (agent specific commission reminder to popup before closing), move down the most recent comments to the bottom of the screen
      • Copy and paste the template of the notes from this link based on the new plan: Entering Commission Plans Template
        • Fill in the blank fields and update the applicable information for the agent.
      • Go to the custom fields tab then fill in the threshold low or threshold high for sliding cap and update the transaction fee field if applicable.
      • Go to the People Basics screen and update the General Notes.
  • Go to Agent Active Roster and update the following fields if applicable: commission plan, commission split, company $ cap and transaction fee.
  • For Ascend Agents Only - Go to Ascend Roster and update the graduation date and agent status fields.
    • Send an email to marketing@c21redwood.com. Send the agent name, graduation date, office of the agent.
  • Send a confirmation email to the field staff once the changes have been completed. (HS #586515)
