Processing a Transaction using Transaction Concierge Services (For Corporate Processors)

This is a guide for Corporate Processors on how to process files using Transaction Concierge (TC) services


Requesting TC services, agents are being directed to do 1 of 2 things:

1. Emails ratified contract or listing agreement to tc@c21redwood.com

2. Click on the transaction concierge icon in accessRedwood and complete the form

Step 1: Search for Transaction Concierge Docs in Unassigned

Documents sent by the Transaction Coordinator, need to be processed as priority since the agent is paying for the additional service.  TC documents will be sent by the Transaction Concierge team.


Step 2: Search for file in Paperless Pipeline

Search for the property address (Listing Agreement) or the clients name (Buyer Agreements) to see if there is an existing file.


Step 3: TC File Creation

If there is not an active file, go ahead and create a new transaction. If there is already an active file, add the documents to the file and process accordingly.

  1. Enter the Critical Data Fields from the Listing Agreement/Buyer Agreement
  2. Add the Agent
  3. Add Alicia Brown to ALL TC files
  4. Add the Transaction Coordinator assigned to that agent (reference TC + Agent Assignment spreadsheet)
  5. Relabel and Assign documents to the file

  6. Add TC Transaction (For Processors) checklist to the file and check off tasks once completed.

7. Mark off documents received on the transaction checklist.

8. Send email to TC to confirm file has been created and include missing paperwork. All communication correspondence should go through the transaction coordinator, not the agent.

9. Processing- Processing remains the same regards to the review of the documents.

    • Processors are still sending the documents for Broker signature and reviewing documents as the agent submits them to Paperless Pipeline for compliance purposes.
    • What will change is that instead of you contacting the agent for outstanding paperwork you will now contact our TC team- they are added to every file in PP.  Remember, this is an added benefit to our agents, so it is important we are all in communication with one another when it comes to documents.  Your first contact for outstanding documentation, corrections, initials/signatures (from Buyers and sellers) should be the TC team, not the agent.

10. DocuSign– Send all agreements for Broker signature (this is not the TC responsibility) Add the TC as an additional recipient to receive a copy

11. Essential Contractual Item, i.e., Escrow–  Communication regarding escrow is through the TC. Upload copy of deposit confirmation and confirmation letter to file and send copy to the TC.

12. Darwin– Process as normal. Add note in the commissions box indicating the agent is using TC services.

13. Add Property to the TC Tracker Spreadsheet
