Processing a Contract in Darwin (Seller Representation)

This guide is to be used for the corporate processors when processing a Real Estate Sales Contract in Darwin.

Step 1: Search property address in Darwin

First, click on the Properties button, then search the property address in the Search bar. If the property is listed by a Redwood agent and was entered into Bright, the feed from Bright will push to Darwin. You will not need to create a new file for Redwood listings.


Step 2: Open Transaction File

To open the transaction file, double click on property address.


Step 3: Property Basic Tab

Some information will appear in the transaction file (i.e., list date, expire date, agent name, pending date and est close date). Enter the selling price (sales price on contract), then click save.


Step 4: Add Seller Names [People Tab]

Go to People tab and click + button on seller side.

Click add person button if the seller is not yet existing on file.

Fill in the seller's first name and last name including the email address and phone number if available, then click next.

Just click next, no need to input a company or account.

Just click next, no need to input the address.

Add Seller Source and Lead By.


Step 5: Set up Real Satisfied Survey [People Tab]

We send out Real Satisfied survey to our clients once the transaction has closed based on the submitted Coversheet. To send a survey, click the Send Survey button and select email as the survey delivery.


Step 6: Add Buyer Names [People Tab]

Add Buyer clients (do not enter client email address for clients Redwood is NOT representing).

Click add person.

Fill in the buyer's first name and last name, then click add button.


Step 7: Add Title Company [People Tab]

Click + button on vendor / partner.

Click the magnifying glass to start searching for Title Company.

Type the title company name and select Title Company type to narrow the search, then click on the correct one.

Make sure to select "S - Buyer" side before clicking the Add button.


Step 8: Add Lender [People Tab]

Click + button on vendor / partner.

Click the magnifying glass to start searching for Title Company.

Type the lender/mortgage company name and select Lender type to narrow the search, then click on the correct one.

Make sure to select "S - Buyer" side before clicking the Add button.


Step 9: Add Financing Type [People Tab]

The Financing Type can be found pg.1 of sales contract and/or Finance Contingency Addendum.


Step 10: Add the CoBroke [Commission Tab]

Go to Commission tab and click the + button for cobroke commission.

Click the magnifying glass to start searching for Cobroke Office.

Search for the brokerage name in the Search bar and click the appropriate brokerage.


Step 11: Add Redwood Commission Rate [Commission Tab]

Input the commission % or $ then click save.


Step 12: Commission Notes [Commission Tab]

In the commission notes box, add any additional information needed then click save.

Notes to be added such as:

  • Processing notes (date and initial when follow up email was sent to agent)
  • Special Commission (broker credits, agent splits)
  • If the agent is using Transaction Concierge services
  • Referrals
  • When the transaction is New Construction
  • Date of when a follow up email was sent to the agent
