Google Workspace - Field Process

This guide covers strategies for agents to use when they are approaching (or exceeding) the 5 GB allotment provided in our Redwood Agent Protection Plan accounts.


This guide covers the upcoming changes to Redwood’s Google Workspace policy: Agent Protection Plan 2.0. You can also view the Redwood Agent Protection Plan one pager to see the summarized version of the policy.

Who are the affected agents?

  1. The board is sorted by Office
  2. Storage Category shows if the agent is approaching or exceeded the 5GB limit
  3. Select one from “Contact Status” dropdown when you reached out to the agent.
  4. Add a note under “Notes from Field”. It’s very important to make notes when you selected “Other, see notes” or “Escalate to Eddie” from the Contact Status dropdown.
  5. AGC LTM will show how much production the agent has from the last 12 months
  6. Total Storage in GB shows the agent’s current storage space. This will determine how much space must be deleted or moved by agent if not opting for the $18/month unlimited storage.
  7. If agent decided, ask the agent to fill out this form: Google Workspace FormNOTE: If you are filling out the form on the agent’s behalf, you must read through the acknowledgement form to the agent.

How should I contact the agent?

Hi [agent first name]:  I would like to help you plan for a pending policy change coming at the end of next month.

Redwood has worked out terms with Google to retain Google Workspace for all of our agents as part of our Agent Protection plan. We were able to extend our contract without any price increases, but as of June, each account will have a maximum storage limit of 5 GB. Your account is currently using __ gigabytes of storage.

There are some easy solutions to this issue.  Our team created this Support Center guide (Agent Protection Plan 2.0) to walk you through the most common ways to reduce your storage use. Alternatively, if you would like to keep your current unlimited storage, that option will be available for the subsidized cost of $18/ month.

When is the deadline for agents to fill out the form?

The deadline for the form to be completed is May 21st.

What happens if I can’t reach the agent?

If the agent did not complete the form and have exceeded the 5 GB storage space limit, the agent will be automatically billed the $18/month.
